Chevron Corporation Administrative Assistant in Houston, Texas

Provides administrative and/or business support to an organization. This may include accounting and financial support, drafting, facility and operations support, graphic design, information processing, information management, mail, office administration, transportation, and technology.

Chevron is accepting online applications for the position through June 14th, 2021 at 12:00a.m. (CST).

The position will provide administrative support to the General Manager and Team for Chevron Shipping Marine Technical & Projects, Marine Terminals, Marine Assurance managers and team. The Administrative Assistant must be self-motivated, learns quickly, anticipates needs, works independently and has demonstrated the ability to multitask. The successful candidate needs strong interpersonal skills, a keen eye for attention to detail and the ability to maintain confidentiality.

Responsibilities for this position may include but are not limited to:

  • Provides general administrative support to the General Manager and Team for Chevron Shipping Marine Technical & Projects, Marine Terminals, Marine Assurance managers and team.

  • This includes coordinating meetings, appointments, planning events/meetings, ordering office supplies and catering services, maintaining files, badging I credentials for any visitors and contractors.

  • Provides calendar management support for the GM; help manage meetings to maximize GM's time; and scheduling support for leadership team meetings, townhalls, business plan activities, and leadership communications.

  • Coordinates domestic and international travel plans, as required. All travel planning and booking including support scheduling in person meetings in line with planned travel and managing expense reports.

  • Manage P-Card expenditures, reconciliation and reporting.

  • Support in setting up and managing internal tools like SharePoint, Microsoft Teams. Power BI and other standard Chevron collaboration tools.

  • Provide SharePoint support; manage files, create categories using meta data, update and review permission groups.

  • Assists in preparing presentation slides including proof-reading.

  • Independently completes assigned projects by gathering, organizing and summarizing information and preparing documents from general instructions.

  • Maintains effective networks throughout Chevron and outside organizations. Communicates and interacts effectively with other leaders and employees.

  • Excellent organization and planning skills: Demonstrated capability to maintain complex calendars and logistics; prepare GM for meetings and other events; organize business conferences and meetings; handle activities with high confidentiality

  • Good communication skills. Works well with high-level executives and executive assistants.

Required Qualifications:

  • High School diploma or equivalent.

  • Minimum of 3+ years relevant work experience.

  • Demonstrated proficiency in the Microsoft Office Suite; Word, PowerPoint, Excel, Power BI and Outlook/Calendar.

  • Demonstrated problem solving abilities and critical thinking skills with strong attention to detail.

  • Demonstrated ability to understand and satisfy customer needs and expectations.

  • Demonstrated ability to adapt to fast paced, ever-changing workload and demands.

Preferred Qualifications:

  • Power BI experience

  • Bachelor's degree

  • SharePoint experience
