Chevron Corporation Executive Staff Operations Partner in Houston, Texas

Chevron is accepting online applications for the position of Executive Staff Operations Partner located in either San Ramon, CA or Houston, TX through August 10, 2022 at 12:00 a.m. (PST)

This position reports to the Executive Assistant to the Chairman and CEO and is a member of the Sr. Executive Assistant Team. Collectively with the Sr. Executive Assistants and the Chairman’s Executive Assistant, lead the Executive Staff, expanding the Executive Assistant role to more of a strategic partner with the Officers focusing on project management and strategic thinking, while fostering a collaborative One Team environment. Create a sharing and learning team culture and drive the Executive Staff towards common goals and simplification of work processes. Serves as integral communications link between Executive Staff and executive services to ensure protocol and guidelines on executive floors in San Ramon and Houston are appropriately aligned. Must have the ability to quickly adjust priorities, draw attention to details and think creatively to help problem-solve while promoting a positive image; anticipate needs, think critically and offer solutions to problems with a high level of professionalism and confidentiality.

Responsibilities for this position may include but are not limited to:

Leadership and Supervisory Responsibilities

  • This role has a visible leadership role in driving a One Team culture across the executive staff and must demonstrate professionalism to all levels.

  • Serves as the Chair of the Talent Development Team (TDT), responsible for advancing the talent and development strategic initiative and organizational capabilities for the EA team. The role is responsible for identifying, developing and maintaining pipeline of talent within Chevron to become viable candidates for Executive Assistant and Relief Executive Assistant (REA) positions.

  • Primary liaison for all open Executive Assistant positions in Executive Staff; assist corporate officers in selection process. Assists with job postings, screens candidates, develops interview questions, documents and provides feedback to candidates. Partner with Sr. Executive Assistants to determine Executive Assistant staffing and team assignments to ensure officers have the coverage needed. Provide short-term coverage for Executive Assistants when Relief Executive Assistants (REA) or others unavailable.

  • Manage overall staff activities; identify dates for and coordinate Executive Staff meetings, Executive Staff holiday breakfast/brunch, Volunteer Week project, Administrative Professionals’ event(s), Executive Staff teambuilding events, retirement events, holiday events, Adopt-A-Family project.

  • Expand the staff’s knowledge about prioritization and presentation software, Microsoft Office Suite, ensure digital training for Executive Staff, and continually research and recommend future digital tools, identifying process efficiencies, digital advances and upskilling the executive team.

  • Identify internal and external opportunities for Executive Staff training and enhancement of career development.

  • Supervise 2 non-exempt Security Receptionists; conduct performance reviews, determine salary actions, track vacations, approve time sheets.

Partnerships and Strategic Initiatives:

  • Primary liaison with internal Chevron departments such as Finance, Global Security, Chevron Environmental Management and Real Estate Company (CEMREC) and Compass (Catering) for the Executive Staff.

  • Partner with Executive IT to actively seek new technology discoveries and breakthroughs that will enhance and streamline existing processes in the Executive Staff. Work with IT Executive support team on initiatives and projects (i.e., SharePoint, new processes to ensure efficient meetings, conference room equipment upgrades, etc.) and review annual IT budget portfolio for the Executive Staff.

  • Responsible for managing the digital advancement strategic initiative for the Executive Staff as chair of the Digital Advancement (DA) team.

  • Assists the Chairman’s office with coordinating events.

Required Qualifications

  • Minimum of 5 years executive assistant experience providing direct support to executive-level management.

  • Demonstrated strong current performance.

  • Supervisory experience desirable.

  • Advanced proficiency in Microsoft Office applications, MS Teams, OneNote, CTREX, OneDrive, Excel, PowerPoint, SharePoint, Workplace and Workday.
