Chevron Corporation Administrative Assistant - Corporate Compliance in San Ramon, California

Chevron is accepting online applications for the position of Administrative Assistant - Corporate Compliance located in San Ramon, CA / from June 4th, 2021 through June 18th, 2021 at 11:59 p.m. (Pacific Standard Time).

This position reports to Chief Compliance Officer in San Ramon and provides administrative support to several members of the Corporate Compliance Group, including several members of the Corporate Compliance Leadership Team. This position performs assignments with a high level of independence, initiative, discretion, accuracy, and attention to details. Confidentiality in this position is crucial. Advanced proficiency in computer skills is required, familiarization and use of PowerApps desired.

Responsibilities for this position may include but are not limited to:

  • Provides general administrative support including calendar management, report generation, presentations, file maintenance, catering, etc.

  • Schedules and coordinates logistics for meetings and special events.

  • Coordinates domestic and international travel logistics.

  • Coordinates all logistics for office moves and assists in the onboarding off-boarding of employees.

  • Ordering office supplies, maintains records of business expenses (Procard and T-card), track expenditures through the year, invoice tracking and research discrepancies.

  • Responsible for coordinating support to employees in obtaining company-issued mobile devices.

  • Provides general mobile device support and collaborates with third-party wireless administrator, mobility SME and other 3rd parties as applicable.

  • Tracks group budgets and headcount, maintains organizational charts.

  • Creates, maintains, and updates department SharePoint, iManage and Microsoft Teams' site.

  • Ensures requests are handled promptly, ensures action items and deadlines are met.

  • Uses advanced knowledge of Microsoft Suite software.

  • Handles special projects as requested.

  • Maintains effective networks throughout Chevron.

  • Maintains a high level of confidentiality, tact, and discretion.

  • Anticipates customers' needs and provides a high level of customer service.

Required Qualifications:

  • At least 3 years of administrative experience.

  • Must be able to handle all activities with confidentiality, initiative, and independence. Must be punctual and dependable.

  • Requires completion of work assignments where directions are given from a brief outline or general oral instructions.

  • Demonstrated ability to take initiative, prioritize and meet deadlines. Ability to multi-task, anticipate needs and requirements, and follow through.

  • Strong interpersonal skills. Ability to work cooperatively with all levels of management and peers and can readily adapt to the needs of diverse work groups while remaining calm under pressure.

  • Ability to effectively communicate (written and verbal) at all levels of the organization.

  • Strong organizational skills and attention to details are crucial.

  • Advanced knowledge in use of Microsoft Office applications in addition to MS Teams, SharePoint to develop. spreadsheets, presentations, mail merges and other correspondence.

  • Knowledge and experience using PowerApps highly desired.

Preferred Qualifications:

  • Preference for BA or BS

  • Minimum of 4 years administrative experience, preferable at the senior level.

  • Data analysis and reporting highly desirable. Ability to think critically about data.

  • Knowledge and experience with SAP and Ariba.

  • Must be flexible. Will be supporting meetings on different time zones.

Relocation Options:

Relocation will not be considered.
