Provides administrative and/or business support to an organization. This may include accounting and financial support, drafting, facility and operations support, graphic design, information processing, information management, mail, office administration, transportation, and technology.

The position will provide administrative support to the Managers and staff for Chevron Shipping IT, Supply Chain, and Fleet Operations Teams. The Administrative Assistant must be self-motivated, learns quickly, anticipates needs, works independently and has demonstrated the ability to multitask. The successful candidate needs strong interpersonal skills, attention to detail, the ability to maintain confidentiality and the ability to work effectively with a diverse workforce.
Responsibilities for this position may include but are not limited to:
Provides general administrative support to the Shipping IT, Supply Chain and Fleet Operations Managers and Team.
Coordinate meetings, appointments, planning events/meetings, ordering office supplies and catering services, maintaining files, badging I credentials for any visitors and contractors.
On/Offboard Shipping IT contractors, onshore and offshore.
Provides calendar management support for the Shipping IT Manager; help manage meetings to maximize managers time; provide support to Shipping IT leadership team meetings, and special events.
Coordinates domestic and international travel plans, as required. All travel planning and booking including support scheduling in person meetings in line with planned travel and managing expense reports.
Manage purchasing card expenditures, reconciliation and reporting.
Project invoices and receipts. Working knowledge of Maximo.
Uses Microsoft Office 365 applications to create and maintain documents, spreadsheets and databases (Word, Excel, PowerPoint, Access, Teams, OneNote and SharePoint).
Independently completes assigned projects by gathering, organizing and summarizing information and preparing documents from general instructions.
Maintains effective networks throughout Chevron and outside organizations. Communicates and interacts effectively with other leaders and employees.
Good communication skills. Works well with high-level executives, executive assistants, and internal and external customers.
Works with the Administrative Resource Team (ART) in San Ramon, CA. including; utilizing ART resource tools, reviewing the team SharePoint sites as resources and understanding the content to assist other Shipping assistants and employees.
High School Diploma or equivalent.
3+ years of administrative work experience.
Ability to adapt to a fast paced, ever-changing workload and demands.
Problem solving abilities and critical thinking skills with strong attention to detail.
Ability to understand and satisfy customer needs and expectations.
Strong computer skills including intermediate knowledge in Microsoft Office 365 Applications.
Relocation will not be considered.
Expatriate assignments will not be considered.
