Chevron is accepting online applications for the Operations and Administrative Assistant position through 11/25/2024 at 11:59 p.m. Central Time.   

The Operations and Services Administrative Assistant reports to the General Manager of Operations and Services and is responsible for coordinating administrative support across Operations and Services Organization, providing direct support to the GM Operations and Services and providing general administrative support to the organization.

The Administrative Assistant must be self-motivated, learn quickly, anticipate needs, and work independently and have demonstrated the ability to multitask. The successful candidate needs strong interpersonal skills, a keen eye for attention to detail and the ability to maintain confidentiality. 

Responsibilities for this position may include but are not limited to:  

Coordinating administrative support across the organization. This coordination includes acting as Microsoft Teams Admin, managing permissions and distribution lists, acting as Power User/Information Management Delegate/Data Owner for key SharePoint sites, ordering office supplies and catering services, maintaining files and Operations and Services Website, managing badging/credentials for visitors and contractors, conducting monthly p-card and TEA card reconciliation, managing special projects (e.g. floor moves, business continuity rosters), and managing special events (e.g. celebrations, townhalls, event ticket allocations). 

Provides direct support to the General Manager of Operations and Services which includes calendar/pre-read coordination, metrics and report generation/consolidation, note taking for key meetings, posting of key information on Microsoft Teams channels, and as needed domestic/international travel and expense support. Calendar management support for the leader and leadership team includes ensuring the right people are in each meeting; helping manage cadence of meetings to maximize the Leader's time; ensuring meeting times line up with planned travel, and scheduling support for leadership team meetings, townhalls, business plan activities and leadership communications. 

Provides general support to Teams which includes weekly meeting facilitation, quarterly townhall coordination, report generation, and as needed ad hoc support (e.g., office moves, R&As, office equipment ordering).    

Required Qualifications:  

  • High School Diploma 

  • Demonstrated computer experience including Microsoft Teams, Outlook, Excel, SharePoint, PowerPoint, Word, Power BI, OneDrive, Workplace 

  • Demonstrated experience supporting a leader including calendar and schedule management, being self-motivated, anticipating needs, working independently, being open to learning and having a keen eye for detail. 

  • Strong interpersonal skills, ability to understand and satisfy customer needs and expectations, and the ability to maintain confidentiality. Must demonstrate proficient communication and networking skills to effectively interface with a broad set of stakeholders. 

  • Outstanding communication skills

  • 5 +years of experience in administrative roles or similar.

    Preferred Qualifications:  

  • Understanding of energy industry/upstream business workflows as needed to coordinate reporting and metrics. 

  • Demonstrated experience supporting a large organization while also acting as direct support to a leader.

    Relocation Options:

    Relocation is not offered for this role. Only local candidates will be considered.

    International Considerations:

    Expatriate assignments will not be considered.
